Terms of Service
Last updated: October 4, 2026
These terms are an agreement between your organization and MwaiBoard ("we", "us"). By creating a workspace or signing in, you agree to these terms and to the Privacy Policy. If you do not agree, do not create a workspace or sign in. You can contact us at support@mwaiboard.com.
The service
MwaiBoard provides a workspace for board meetings, documents, chat, notifications, and related governance work. The first person to register creates the organization and is its administrator. Other people join when that organization invites them. Each organization's records are kept separate from other organizations.
The service is a workspace for your board's own work. It is not legal, financial, or governance advice.
Who may use it
You must be 18 or older.
Accounts
- You must provide a valid work email and keep your sign-in details private.
- You are responsible for activity under your account.
- The organization administrator invites other people, decides what they can see, and is responsible for their use of that workspace.
- The administrator must remove a person's access when that person should no longer have it.
Your content
Meetings, documents, messages, and other records you add belong to your organization. You give us permission to store and display that content so the service can operate for the people your organization authorizes. We do not claim ownership of it. We keep that content confidential and use it to operate the service for the people your organization authorizes, unless the law requires otherwise.
Backups and your records
MwaiBoard is a workspace for your board's records, not a backup service. Your organization is responsible for keeping its own copies of anything it must retain, including records required by law. Download or export what you need before your trial or subscription ends, or before you delete your account.
AI features
The AI assistant produces drafts and analysis that may be incomplete or wrong. Your organization is responsible for reviewing and approving anything it produces before it is used, shared or filed.
Recording and transcription
If your organization records or transcribes a meeting, it is responsible for telling participants and obtaining any consent the law requires.
Acceptable use
Do not:
- break the law or use the service for an unlawful purpose
- try to access another organization's workspace or any account that is not yours
- share your sign-in details or let someone else sign in as you
- bypass or interfere with the service's security features
- use bots, scripts or other automated means to access the service or collect its data
- upload malware or anything that disrupts the service
- upload content you do not have the right to share
Public holidays
Public holiday dates in the product are reference information only. They come from third-party calendars and our own updates, may be incomplete or wrong, and may not match the latest official government notice or how a country applies weekend and movable holidays.
Do not rely on these lists alone for leave, payroll, or legal compliance. Confirm important dates with official government sources. We may correct or update holiday data without notice.
Trials and payment
A new organization starts on a trial. Continued use after the trial requires a paid subscription arranged by the organization administrator on the website. The price is the price shown on the website when the administrator pays. Card details are collected by the payment provider. We do not store card numbers. Cancelling stops the next renewal. Access continues through the period already paid.
The trial lasts 14 days. After it ends, your organization has a further 14-day grace period to start a paid subscription. If payment is not completed before the grace period ends, the workspace, accounts and associated data are deleted.
Subscriptions renew automatically each month or year until cancelled. We may change prices with at least 30 days' notice emailed to the administrator, and the new price applies from the next renewal. Fees for periods already paid are not refunded, except where the law requires. If a payment fails, we may suspend access until it is resolved.
Availability
We work to keep the service available, but we do not guarantee uninterrupted access. We may interrupt the service for maintenance. We may suspend a workspace that violates these terms, has not paid after the trial, or creates a security risk. When a trial or subscription ends, access to that workspace can stop.
Our property
The service, including its software, design and content other than your own, belongs to MwaiBoard. You may not copy, scrape or reverse engineer the service, try to extract its source code or design, or use it to build a competing product.
Disclaimers and limits of liability
The service is provided "as is" and "as available". To the extent the law allows, MwaiBoard is not liable for indirect or consequential loss, loss of data or loss of profit arising from use of the service, and our total liability for any claim is limited to the amount your organization paid in the 12 months before the claim. Nothing in these terms excludes rights that cannot be excluded by law.
Your responsibility for your content
Your organization is responsible for the content it adds and for the actions of the people it invites. Your organization will cover us against third-party claims arising from content it uploads or from its users breaching these terms, except to the extent we caused the loss.
Ending this agreement
You can stop using the service at any time and cancel your subscription as described above. We may end access to a workspace that breaches these terms. When access ends, your data is deleted as described in the Privacy Policy, so download what you need first.
Notices
We will send notices to the administrator's email address. Keep it current so you receive them.
General
These terms are the whole agreement between your organization and us about the service. If part of them is found unenforceable, the rest still applies. If we do not enforce a right, we have not given it up. We are not responsible for delays or failures caused by events beyond our reasonable control. We may transfer these terms to a successor to our business. Your organization may not transfer its rights without our consent.
Changes
We may update these terms by posting a new version on this page. The date above is the current version. Continuing to use the service after that date means you accept the updated terms.
