Privacy Policy
Last updated: October 4, 2026
MwaiBoard ("we", "our", "us") provides a board governance application for organizations and their members. This Privacy Policy explains how we collect, use, and share information when you use the MwaiBoard website and related services. The service is for people 18 and older. We do not intend to collect personal information from anyone under 18. If you believe we have, contact us at support@mwaiboard.com.
Information We Collect
- Account information you provide, such as your name, username, email address, and password.
- Organization and membership information, including the board or company you belong to and your role.
- Content you create or that is shared with you, including meeting records, documents, chat messages, and profile details.
- Camera and microphone data when you join a meeting video. We do not access the camera or microphone in the background.
- Device and notification data, including a Firebase Cloud Messaging token and device type, so we can deliver push notifications you allow.
- Technical information needed to sign you in, keep the service secure, and diagnose failures, such as session data and basic request logs.
How We Use Your Information
- To provide board meetings, documents, chat, notifications, and related governance features.
- To authenticate you and limit access to your organization.
- To send push notifications about activity in the app when you have allowed them.
- To operate meeting video, including camera and microphone while you are in a call.
- To maintain security, reliability, and legal compliance.
Who decides
Your organization decides what board and member information is stored in its workspace. We process that information to provide the service. If we receive a request about records inside a workspace, we refer it to that organization's administrator unless the law requires us to answer it ourselves.
AI features and transcription
The AI assistant and transcription features send the content you submit to third-party providers to produce the result. Your organization's content is not used to train AI models. AI output is a draft and should be reviewed before use.
Where your data is stored
Workspace data is hosted with Hostinger. Some service providers may process information in other countries.
Data Sharing
We do not sell personal information. Information is shared with:
- Other members of your organization, to the extent your role and the product features allow them to see meetings, documents, and messages.
- Service providers that operate the product on our behalf, including Google Firebase for push notifications and the hosting provider that runs the application.
- Payment providers that take the subscription payment on the website: CyberSource, Stripe, PayPal, and Flutterwave. We do not store card numbers.
- AI and transcription providers, when you use those features.
- Authorities or other parties when required by law, or when needed to protect the rights, safety, and security of users and the service.
A list of our service providers is available on request at support@mwaiboard.com.
Cookies and sign-in
The website uses a session cookie to keep you signed in.
Data Security
We use reasonable technical and organizational safeguards to protect data against unauthorized access, disclosure, or misuse. Access to an organization's records is limited to authenticated members of that organization. More detail is on the Security page.
Data Retention
We retain information for as long as your organization keeps the account and the records, and for as long as needed for security, legal, and operational purposes. Push notification tokens are removed or deactivated when they are no longer valid.
Once we have verified a deletion request, we delete the data within 14 days. Routine backups may keep copies until they are overwritten. If a trial or subscription ends and payment is not completed before the 14-day grace period ends, the workspace, accounts and associated data are deleted in the same way. Download any records you need to keep before then.
Your Choices
You can turn off camera, microphone, and notification permissions in your device settings. Turning a permission off limits the feature that depends on it, such as meeting video or push notifications. You can also ask your organization administrator to update or remove your membership.
To request deletion of your user account or closure of an organization workspace, see our Account Deletion page.
Your rights
You can ask us for access to, correction of, or deletion of your personal information by emailing support@mwaiboard.com. For records inside a workspace, we may refer you to your organization's administrator. If you are not satisfied with our response, you can complain to your local data protection authority.
Changes
We may update this policy by posting a new version on this page. The date above is the current version.
